The business processes of logistics companies are more or less the same. These are a registration of the arrived applications, an extract of commodity-transport waybills and waybills. An important factor in successful work is the effective organization of the transportation process, the planning of transport services. Obviously, a small courier company, which has 5-10 cars, may well do the maintenance of all documentation in Excel.
With the growth in the number of customers and traffic volumes, the time
for processing applications and keeping records increases proportionally. A
logical solution to this problem, it would seem, is to increase the number of
managers. However, such a straightforward approach is often unjustified, since
this will lead to higher wage costs. In addition, it is not always possible to
find a qualified specialist. And if such specialists appear, then if the
situation on the transportation market changes, they may need to be fired,
which is often organizationally connected with certain difficulties.
In such a situation, many transport companies decide on the implementation
of road transport and logistics management system. The core of such a system is
the interrelation of transportation applications and trip tickets. As a rule,
the application includes the name of the cargo, the name of the customer, the
delivery address and some additional information - tonnage, cubic capacity, number
of pallets, the recommended delivery time, etc. Sometimes the waybills are
analogous to the application. For these applications or invoices, thedispatcher must pick up the car and driver. In this case, the vehicle may
either belong to the company, or it may be a hired vehicle. An important factor
is a type of car body (refrigerator, tent or isothermal), as well as carrying
capacity. Having secured an application or several applications for a truck,
the dispatcher must write out a waybill. They should fill in the driver's
tasks, indicate the route, the customer, the load. In the information
management system of motor transport applications can be attached to the car
with one mouse movement. Then, travel tickets are automatically generated for
these applications with completed tasks to the driver and the package is sent
to print.
Accounting for track documentation are important functions of the control
system, but not the only ones. Information from trip tickets is an invaluable
source of data for quantifying the effectiveness of the business results of a
transport company and making management decisions.
The system of technical and operational indicators (TEC), which includes
the rate of production of cars per line, the utilization rate of the park, the
utilization rate of the load capacity, the utilization rate of the mileage,
etc., will allow the logistics or business analyst to get a complete picture of
the economic activity of the automobile enterprise. In turn, this makes it
possible to identify the factors affecting changes in the dynamics of the
transportation process and to plan the future development of the company.
